Streamlining Safety and Efficiency at Boardmasters Festival with Chronosoft’s Incident Forms

Vision9, organisers of the Boardmasters Festival near Newquay in the UK, partnered with Chronosoft  to enhance safety of all the attendees of their 2024 event, as well as help the management team streamline their processes and reporting, all by utilising our Chronicler platform. Boardmasters is one of the most unique events in the UK festival calendar, attracting thousands of attendees, including minors, over five days of surfing, adventure sports, and live music. The festival’s beach-side location, mixed with alcohol availability and some attendees being minors, made missing persons a key concern for the Boardmasters team. With these concerns in mind, Boardmasters partnered with Chronosoft and together we deployed our largest implementation of digital forms to date, transforming how the event managed their critical safety information.


The Challenge

Boardmasters has always faced unique safety challenges due to its combination of high-energy music and action sports. With the added complexity of managing thousands of attendees across different sites, as well as private lessons, camping grounds, and some attendees being minors, the event’s safety needs are much greater than your typical multi-day festival. In particular, the proximity to water, the availability of alcohol, and the presence of minors leads the Boardmasters team to consider the potential for people to go missing to be a key safety concern. Historically, the reporting and follow-up of such incidents relied on paper forms and ad-hoc radio communications, a process that was inefficient and unwieldy when modern technology allows for better.


Chronosoft’s Solution

Chronosoft introduced a cutting-edge solution to the festival through our Chronicler platform, replacing outdated analog methods with a single-platform digital approach. Short digital forms, accessible via QR codes that staff could scan with any mobile device, were deployed across the event. These forms allowed event staff to instantly submit missing person reports, found person reports, and even record details of advanced searches or evictions. Each submitted form was stored in a central knowledge base, providing a single, reliable source of truth for the event control centre. This shift to digital not only improved the speed of information gathering but also enhanced the accuracy and consistency of the reports. Staff no longer needed to rely on scattered paper records or time-consuming radio communications, allowing for real-time data access and decision-making.


The Results

The impact of Chronicler’s public forms was immediate and profound. With a uniform reporting system that was readily accessible, Boardmasters saw a significant improvement in the quality and completeness of their safety reports. The event control team praised the system for streamlining communication, making it easier to track and resolve missing person cases. Vision9, led by event controller John Badcock, expressed their satisfaction with the results, citing improved operational efficiency and safety oversight as the strongest growth points for the 2024 event.
